Digital Spring Cleaning Tips for Better Document Capture

Posted on April 30th, 2021 Blog

Spring is a time of renewal. It is a time to breathe new life into our homes with a complete spring cleaning.

Just as we deep clean our homes, it is a good reminder for organizations to review, organize and clean up their document capture systems.

A few areas to explore:

  • Clean up your data
  • Reevaluate processes
  • Review Datacap performance settings

Document Capture Tips and Tricks

I asked MagicLamp’s team of data capture experts for any digital spring cleaning tech tips they would like to share.

Here are a few tips from our technical experts:

Troy:

A first step would be to clean and organize Datacap servers for optimal performance.

“One key area that organizations should evaluate is how long they are keeping their Job Done/Completed batches.  How long is long enough?

Based on one client’s history, they have determined that they have never gone back into their old batches in four years. They have other easier ways to getting those answers. As a result, they have changed their retention schedule from 4 years to 3 months.”

Tom:

“When starting design on a project, look first for the export that is going to be required.  The export is the end goal.  After that, you can figure out how you are going to get that data, whether it is by recognition, input stream, calculation, or maybe a database lookup based on one of the aforementioned.

Knowing what you eventually have to export lets you design the rest of the project with ease and confidence.”

Ben:

For anyone using IBM Datacap in a production environment:

“To make sure your production Datacap applications are performing at their fastest speed ensure that ‘flush buffer’ is turned off at all locations logging can be turned on: In each task configuration (through the TMWeb Administration or ICN Datacap Administration pages), in Rulerunner Manager, and in the wTM service configuration file.

Keeping ‘flush buffer’ turned on will tell the application to write out log lines in real time, which can drastically decrease application performance.”
